THIS INFORMATION APPLIES PRIMARILY TO PRODUCTION FACULTY The Film & Digital Media Operations The F&DM Operations department is divided into two general areas: Checkout lab and the Operations office. F&DM Operations staff are responsible for the maintenance of all hardware and software in our facilities. Operations also administers Slugfilm (http://slugfilm.ucsc.edu) a website resource for issues regarding facilities equipment, information, policies and news. The Checkout Lab and the Operations department have two different email aliases for answering questions and resolving issues. FDMCheckout@ucsc.edu is the mail alias for Checkout and fdmoperations@ucsc.edu is the mail alias for the Operations office. Production faculty and lecturers are expected to understand and comply with the production policies and procedures and to encourage their students to do the same. (http://slugfilm.ucsc.edu/facilities/productionpolicies.html) F&DM Operations Department The Operations department, located in Communications room 137, contains two digital media specialists assigned to the department as well as the Operations Manager. F&DM Operations is responsible for maintaining all fixed equipment and software in the building. Fixed equipment is any piece of electronics equipment that is meant to stay in a classroom, editing booth or lab in the Communications building. The Digital Media Specialists regularly answer questions regarding software and also may be contacted to provide in depth classroom presentations for common pieces of software (Final Cut Pro, DVD Studio Pro etc). Room Access F&DM Operations controls access to most teaching and editing spaces in the Communications building by maintaining the OmniLocks that are mounted on all the classrooms, studios and lecture halls. Incoming faculty will need to consult with Angie Steele in room 137 to get access to rooms in the Communications building. Operations also administers the room reservations system (http://slugfilm.ucsc.edu/Reservations/room_schedule.php), which may be used by faculty for reserving spaces in the building outside of a regularly scheduled class or lab. Production faculty are expected to be familiar with Studio B procedures for safety and use of that room. For this reason the Production staff provides an online training module for new users to Studio B (http://slugfilm.ucsc.edu/resources/training.html). The Checkout Lab The Checkout Lab is located in Communications room 123. Checkout maintains all non-fixed production equipment, that is, equipment that is taken out of the building on a regular basis. The rules regarding how the equipment will be taken out is also covered in the production policies and procedures. (http://slugfilm.ucsc.edu/facilities/productionpolicies.html). Checkout Hours Checkout is operated on a regular schedule from 8:30 A.M. – 5:00 P.M. every day. Closed is the period in which no one is in the lab, the alarm is set and the deadbolt is locked. Open is the period in which the lab has “open” hours for either distributing or receiving equipment. The alarm and deadbolt are not in use and the front door is propped open with a doorstop. Production students are expected to be coming in and out of the lab regularly. Checkout student workers and Checkout staff are regularly employed during these hours. Limited times are times in which only the Checkout Manager and the part-time Checkout Specialist are working in the lab. The alarm and deadbolt are not in use but the main door to Checkout is closed. There may be a few student workers finishing their shifts or working on a special project. At least one person should be available in Checkout for services such as faculty equipment reservations, day check- outs and purchases from the expendables store. Check- outs occur during open hours. Checkout should be staffed at all times during a check-out either by the Checkout Manager and/or part-time staff. Checkout student workers should also be in Checkout at these times. Check-outs are 12:30-3:30 P.M. every Tuesday and Friday during the normal academic quarter. Check-ins occur during open hours. Checkout will be staffed at all times during a check-in either by the Checkout Manager and/or part-time staff. Checkout student workers should also be in Checkout at these times. Check-ins are 9:00-12:00 every Monday and Thursday during the normal academic quarter. There are exceptions for holidays following on Monday. During holidays there is no check-in. Equipment checked out on a Tuesday is due the following check-in day which is always Thursday. Equipment checked out Friday is always due the following Monday. This ensures a fast turn around of equipment and a large amount of usage by equipment during a regular week. Students may request to keep equipment over a check-in period this event is known as a “long term check out” and will be discussed further down. Allocation of Equipment Equipment is allocated to specific production courses at a ratio that best services the enrollment of the class and the availability of equipment inventory. At the beginning of every quarter, Checkout will email all faculty detailing their camera access for that quarter. Any changes that may be needed should first be facilitated through the current production faculty. Checkout does not reallocate equipment unless both faculty members agree to a trade of resources through a written email to fdmcheckout@ucsc.edu. Once equipment is allocated at the beginning of the quarter, it will not be reallocated later in the quarter. Student Access to Equipment At the beginning of each quarter Checkout and the Production staff obtain information about students in tandem with their instructors in order to give access to Checkout and room spaces. Faculty will need to schedule time at the beginning of each quarter for Production staff and Checkout to visit each class and go over the student procedure for giving that information. The information covered is as follows: Checkout must receive information from the instructor in order to ensure enrollment. Checkout should request from the instructor: 1. A camera group list breaking down which students will share a camera if applicable. 2. An AIS list, which proves that the student is officially enrolled in the class. Checkout also requires students to complete steps in order to gain access to Checkout. These steps are: * Students must sign-up for the class via AIS. * Students must sign-up on Slugfilm. * Students must pass their equipment module test. * Students must give the Lab 24 hours after completion of these requirements before accessing the system. * Act promptly on any instance of suspected or acknowledged acts of dishonesty. See website above for timelines. The Checkout Expendables Store Checkout regularly stocks media for student purchasing. This is to ensure a consistency of tape stock so as to decrease wear on the heads of camcorders. Also, the Expendables store stocks DVD-Rs, Lens tissue and gaff tape as well as other products students might find useful for productions. The store is open from 8:30-5:00 Monday through Friday. In Class Equipment Demos The Classroom Support Specialist provides faculty with additional instructional demos of equipment usage and to coordinate equipment for in-class labs directed by faculty. Equipment requests for in-class labs must be made a week in advance (and can be detailed in full at the beginning of the quarter). This ensures that the labs do not conflict with the normal check out/in times when students regularly have access to equipment. For in-class assignments, Operations provides Media such as DV tape, DVD-Rs or gaff tape and gels. All other media for things such as personal use can be purchased through the Checkout Expendables store. For labs that run after normal work hours (after 5 when Checkout is closed), faculty are expected to coordinate with the Classroom Support Specialist to drop off the equipment in room 137. 170B - Assignment Guidelines [ doc ] [ pdf ] These guidelines are designed to help you better direct the students in the developing of their 170B projects. 170B - Final Cut Pro Workshops It is standard to include two Final Cut Pro workshops in your 170B schedule. Before finalizing you syllabus, please contact F&DM Operations to coordinate the dates and times for these workshops. Public Screenings The department sponsors public screenings of student's final projects for Film 172 and Film 196A. Typically these are schedule the Friday evening proceeding finals week. It is imperative that you consult with your faculty mentor for guidance on how to prepare for, present and run these high profile events. Production (DVD) Support Production staff (Zach or Brian) are available to help compile student films on a DVD but you must give them ample notice and time for this. Media Support These screenings are usually scheduled in the Media Theater (capacity 390) and Jenny will schedule it towards the middle of the quarter. Contact Media Services to schedule an orientation to the room (lights, mic, etc.) and equipment prior (45min. - 1hour) to the start of the screening. You are expected to host and run the screening. Posters and Advertising Towards the end of the quarter, assign a volunteer(s) to design a poster to help promote the upcoming screening. Please forward the "Poster Guidelines" to your poster designer(s). Your faculty mentor can give you more details and advice on poster design that you can pass along to the students. The students are responsible for posting around campus and in town. These screenings are also advertised on the department website and campus calander. In addition, F&DM majors are notified via email and a divisional email announcement is sent to faculty and staff. A student volunteer will also be needed to create the program to be made available to the audience the night of the screening (see "Poster Guidelines" though the programs are usually a simple word document or pdf.) Faculty Equipment Use Equipment is available for faculty use for research projects or personal instructional use. The expectation is that faculty equipment usage does not conflict with regular student usage and most faculty reserve epuipment during quarter and summer breaks. Faculty should consult with the Operations Manager and Checkout Specialist to confirm the availability of specific equipment.
